MIGRATION GUIDE

How to Switch from TeamSnap to Reply1

A screen-by-screen guide to moving one team or a whole program: export the roster from TeamSnap, import it, invite families, and set the reminders that run your season.

Updated September 23, 2026

What Moves, and What Doesn't

The switch is one export from TeamSnap and one upload to Reply1. Nothing is re-typed, nothing is sent to a family until you say so, and your TeamSnap account is untouched throughout. This guide names every screen, and it makes no promise about how long the move takes — that depends on how much you want to review, and you set the pace.

Comes across in the import

  • Teams — from a Team or Division column, or one file per team
  • Players with positions and jersey numbers
  • Player phone, email, date of birth, and address
  • Up to two parents or guardians per player, with phone and email

Handled separately or left behind

  • The schedule — Reply1's schedule importer brings it in separately (step 4)
  • Message history, photos, and payment history
  • TeamSnap custom fields and profile photos, which TeamSnap's roster export leaves outTeamSnap Help — export roster list · verified 2026-09-23

Before You Start

Pick the plan you'll trial

Starter ($10/month) delivers by push notification in the free Reply1 app, with email for anyone who can't receive push, and sends no texts. For Teams ($19.99/month or $99/year) includes one dedicated texting number; For Programs ($30/month or $299/year) covers unlimited teams and includes two numbers, with extra numbers at $4/month. Every plan starts with a 14-day free trial, no credit card required — you can change plans later.

Decide who will text

If families should hear from you by text, you need For Teams or For Programs and a dedicated number for each team that texts. If push notifications and email are enough, Starter works, and invitations go by email or join link.

Know your teams' ages

Every new team gets an age group during import. Youth teams run the parent/guardian consent flow and use the guardian's phone as the roster contact, so the parent columns in your export matter; adult teams use the player's own phone.

The Switch, Step by Step

  1. Step 1:Export your roster from TeamSnap

For a single team: log in to TeamSnap, open the team's Roster tab, click Export, then Export CSV File. The download holds the roster profile contact information for every member. Two things stay behind, by TeamSnap's own description of the export: profile photos and custom fields.

For a club or league season: open the season, click the Participants tab, and click Export Participants in the upper right. That CSV includes roster status (the division or team each participant is assigned to), email addresses, mailing addresses, contacts, and phone numbers — which is what lets Reply1 build every team in one pass.

Save the file somewhere you can find it. You will upload it as-is; there is nothing to clean up first.

  2. Step 2:Upload it at Reply1's import wizard

Sign in to Reply1 and open the import wizard at /import. It runs in six steps — Source, Upload, Map Columns, Teams, Preview, Import — and nothing is created until the last one. Choose TeamSnap as the source and drop in the CSV (one file or several, up to 5,000 rows per import).

The wizard recognizes TeamSnap's column names — first and last name, birthdate, gender, jersey number, position, email, phone, address, and the parent columns — and maps them to Reply1's fields automatically. You see the whole mapping on one screen, grouped into player fields, parents and guardians, and team, and you can change any of it. Guardians become first-class contacts: on a youth team, the guardian's phone is the number invitations and reminders go to. If a row is marked Non-Player, the wizard sets it aside with that reason instead of silently dropping it.

On the Teams step, a Team or Division column becomes one team per value; if the file has no such column, the file becomes one team with the name you gave it on the upload step. Each new team needs an age group — youth teams get the parent/guardian consent flow — and you can add players to a team that already exists instead of creating a new one.

Preview shows every player and guardian about to be created. Import then creates teams, players, and guardians — and only those. No invitation or message goes out, and if anything looks wrong, Undo this import removes everything the import created and leaves everything that existed before untouched.

  3. Step 3:Invite players and parents

Players and parents are always free on Reply1, on every plan. Once you have reviewed a roster, invitations go out from that team's Registration page. On any plan you can send email invitations or share the team's join link; on For Teams and For Programs you can also send invitations as texts from your team's dedicated number. Youth teams invite a parent or guardian for a specific player, and on For Teams and For Programs a texted youth invitation needs that dedicated number.

Each person who accepts lands in Reply1 with their child or their own roster spot already attached, and the free Reply1 app for iOS and Android — search "Reply1" in the App Store or Google Play — delivers RSVP requests and team messages as push notifications from then on.

  4. Step 4:Bring the schedule

The roster importer moves people, not events. For the season schedule, use Reply1's schedule importer from a team's Events page: paste the URL of a webpage that lists the schedule, upload or paste a screenshot or photo of it, or fill in the CSV template it gives you. Games, practices, and team events come in with their date, time, location, and opponent, and every imported event can be edited afterwards.

Reply1 has no recurring events, so a weekly practice is a row per week — the importer is the fast way to add a season of them. Once the events are in, every family can subscribe to the team's calendar feed, and editing an event later sends a push to everyone on the app.

  5. Step 5:Set RSVP reminders

Reminders are the part of Reply1 that replaces the chase. For each reminder you pick how many hours before the event it goes out and who receives it: everyone, only the players who haven't answered, or a reliability-score range. Every player carries a score from 1 to 5 that starts at 3 and moves with attendance, visible to coaches and managers only.

On Starter, reminders arrive as push notifications in the free Reply1 app, with email for anyone who can't receive push — Starter sends no texts. On For Teams and For Programs they are texts from your team's number, and families can answer in their own words; the reply is read and recorded as a yes, no, or maybe.

  6. Step 6:Optional: set up fees and registration

Link your program's own Venmo, Cash App, or PayPal and Reply1 adds nothing — a 0% platform fee and no per-registration fee. Create a fee, attach it to a team, and every parent gets a personal pay link that opens their app with the amount filled in; they tap "I sent it," you confirm with one tap, and the dashboard shows who has paid. Reminders you schedule ahead of a due date go only to parents who haven't paid. Cards and bank transfers through Reply1 Payments — 2.9% + 30¢ for cards, 0.8% capped at $5 for ACH — are coming soon.

If you register families yourself, create a registration offer for a tryout, season, or camp — fee, capacity, open and close dates, a custom form, and waivers that go out for e-signature when a family is approved — and share one public link anywhere. Approved players land on the roster with their guardians attached.

Run Both During the Trial

The 14-day free trial takes no credit card, so the safest switch is a parallel one: import the roster, invite the team, and put the next few events into Reply1 while your old setup keeps running. Watch the RSVP board fill in and the reminders go out, then decide. Nothing in Reply1 touches your TeamSnap account, and undoing an import is one click.

Migration Questions

Do I have to close my TeamSnap account first?

No. Nothing in Reply1 changes or reads your TeamSnap account; the import works from the CSV you downloaded. The safest path is to run both until the roster is answering in Reply1, then stop using the old one on your own schedule.

Will parents have to install a new app?

On Starter, yes — RSVPs and messages arrive as push notifications in the free Reply1 app, with email for anyone who can't receive push. On For Teams and For Programs, families who never install it still get texts from your team's number and can answer by text. The app is free on iOS and Android either way.

My export has columns Reply1 doesn't use. Is that a problem?

No. Only mapped columns are read; everything else is ignored. If a column maps to the wrong field, change it on the Map Columns step before anything is created.

Can I import a whole program at once?

Yes. A Team or Division column turns one file into one team per value, and you can upload several files in a single import of up to 5,000 rows. On the Teams step you choose, team by team, whether to create it new or add the players to a team that already exists.

Can you do the migration for me?

Yes. Free white-glove migration is included with every plan: send us your TeamSnap export and our team sets up your whole program — teams, rosters, and parent contacts — for you. You review it before any invitation is sent.

What happens after the 14-day trial?

You pick a plan and keep going, or you stop — no credit card is taken to start, so there is nothing to cancel. Players and parents are never charged on any plan.
